1. The Four Historical eMAR Tile States
Administered / Completed: Documentation is complete and signed in the audit record.
Due Now: The administration window is open according to facility pass-time configuration.
Overdue Window: The software timer passed the scheduled administration window. Requires clinical attention or documentation.
Future / PRN: Scheduled for a future pass time or available as an as-needed order.
2. The Three-Lane eMAR Management Model
🖥️ IN PCC (HISTORICAL UI)
- Red tiles surface overdue items requiring review or documentation.
- Yellow tiles identify active pass queues.
- Documenting future tiles in older PCC versions could display confirmation prompts depending on setup.
🩺 AT THE BEDSIDE
- Prioritize time-critical medications (e.g. pre-meal insulins, Parkinson's meds, scheduled antibiotics) over alphabetical room order.
- Never rush the 5 Rights or resident identification just to beat a software timer.
- Ensure resident is awake and physically swallowing before charting.
📝 DOCUMENTATION
- Record the actual, true physical time the dose was administered.
- If administration was delayed by an acute resident priority, follow facility delay documentation policy.
- Never pre-chart doses to keep tiles green.
⚠️ The Anti-Panic Rule: Red Tile ≠ Medication Error
A red tile in PointClickCare is an internal software timer alert. If you were assisting with an emergency or urgent clinical assessment, administer the scheduled medication safely, document the real time given, and follow your facility's delay-documentation protocol. Pre-charting to avoid red tiles is inaccurate and unsafe.
- Document only after medication is administered. Pre-charting is a major safety violation.
- Administer within facility-designated schedule windows.
- Resolve all pending scheduled tiles before end of shift handoff per facility policy.
